Overview
Soaring Spirits International (SSI) provides a positive peer community and research based, relevant virtual and in-person programming infused with a hope-building, life-affirming spirit for widowed people globally. SSI seeks a collaborative, passionate, and highly efficient Camp Widow Onsite Operations Coordinator to work under the direction of the Camp Widow Director while onsite at camp. This behind the scenes role requires having a bird's eye view of the entire event from start to finish and to be familiar with the fine details as directed by the Camp Widow Director and to act as “the number 2” to the Director while onsite at camp.
Assigned Duties
- Participate in all camp planning meetings to understand big picture of camp flow/needs prior to arrival to camp
- Meet with camp director as needed to support camp needs/tasks prior to onsite arrival
- Manage turning of rooms for each block throughout the weekend ensuring the room is correctly set and has the ordered AV equipment in conjunction with the presenter liaison
- Assist in unloading Truck / Pallet, organizing and unpacking boxes, and setting up office before and after camp onsite
- Managing the Operations Team Volunteers and Banquet/Decor Coordinators
- Manage camp office space and printing needs
- Ensure banquet/decor and message release organized and executed
- Get signage up/down (e.g. erecting flags / signs /resource and program tables)
- Assist in creating a comfortable, inviting, and welcoming space AKA “Camp Widow Land” (e.g. moving furniture)
- Attend after camp debrief meetings
Desired Qualifications
- Previous event experience preferred
- Lived experience with grief, loss, and bereavement
- Excellent written and verbal communication skills
- Comfort working independently, with a team player mindset
- Professional, patient, and thoughtful demeanor with excellent customer service skills
- Experience with Google Suite
- Ability to schedule meetings during PST hours in the few weeks prior to camp
- Detail oriented and reliable
- Technologically savvy
- Ability to maintain calm and organized milieu in camp space
- Volunteer management experience
- Ability to multitask
- Interact with SSI staff in accordance with SSI values
- Ability to walk long distances
- Ability to lift and carry flags/ banners /boxes up to 20 lbs
